Both together

Website and email, one number

Most practices take both, because the two problems arrive together. Here’s what that comes to — one figure, one invoice, one renewal date.

Annual is paid up front and works out cheaper — about £40 a mailbox a year. Monthly is rolling with no minimum term, so you’re paying a little more for the flexibility. Both exclude VAT, and the monthly figures exclude the one-off website set-up fee.

Take both and the email move is free

Moving mail is the part practices worry about, and it’s the reason a lot of clinics stay on setups they know aren’t good enough. If you’re taking the website and the mailboxes together, we do the email migration at no charge — historic mail, calendars and contacts included*. We’d rather remove the obstacle than discount the service.

*Migration is dependant on it being technically possible from your current email system.

Why the security isn’t a separate line

Because when backup and filtering are optional extras, practices decline them — and the one most often declined is the filtering, on the mailbox that receives patient enquiries. So it’s one price with everything in it, and there is nothing to switch off to save six pounds a month.

You don’t have to take both

Plenty of practices come to us for the website alone and keep their email where it is — often because someone else already looks after it properly. That’s fine, and the website price is the same either way. We won’t make the hosting conditional on buying mailboxes you don’t need.

But if your practice email is currently on a web server, on a personal Gmail account, or on a Microsoft tenant nobody has looked at since it was set up, that’s usually the more urgent of the two problems. A website going down is embarrassing. A compromised mailbox holding three years of patient correspondence is a notifiable incident.

The terms, plainly

  • Annual is paid up front and covers everything — website and mailboxes on the same date, so you get one invoice a year.
  • Mailbox numbers can go up mid-year. New starters are charged pro-rata to your renewal date, so everything stays on one anniversary.
  • Mailbox numbers can’t come down mid-year on the annual plan. Microsoft commits us for the full term, so we’d be carrying a seat you’d stopped using. If your headcount moves around, take the monthly plan.
  • Monthly is rolling with 30 days’ notice, on both the website and the mailboxes.
  • Longer terms on the website — two, three or five years — bring the annual figure down and hold the rate for the term. Ask on the call.

What isn’t included

  • Building or redesigning the website. We host and maintain. We’ll work alongside your designer, or introduce you to one we have worked with for several years.
  • Content changes. Adding a consultant profile is your web person’s job.
  • Out-of-hours cover. Support is 9:00 to 17:30 on weekdays. Round-the-clock is available and priced separately.
  • Recovering a site or mailbox we didn’t look after. If you arrive already compromised, the clean-up is quoted separately before we start.
  • Full IT support. We do the website and the email. If you need someone looking after laptops and printers too, we can talk — but it’s a different agreement and we’re selective about taking it on.

On cheaper hosting

You can host a WordPress site for £60 a year, and plenty of practices do. What you’re buying here isn’t disk space. It’s someone applying the updates, checking the site afterwards, taking backups off the server, and writing to you once a month whether or not anything happened. If nobody at your practice is currently doing those things, that’s the gap.
